Server access licences (CAL)

Server access licences (CAL)

Server client access licences (CALs) give users or devices the right to connect to server software, so they are needed by any business that runs its own server. Our range has over 2,300 items, mostly from Microsoft, with further options from Lenovo, HPE and Dell EMC.

How to choose a server access licence

Licence type. A User CAL is assigned to a person, so it suits an employee who connects from a laptop, phone and tablet. A Device CAL is assigned to a machine, which makes more sense when several people share one computer in shifts, for example in production or a warehouse.

Server product. A CAL always belongs to a specific server product. Windows Server, SQL Server, Exchange and remote desktop services each need their own licences, so check which software you actually run before ordering.

Version. The CAL version must be the same as the server software version or newer. If you plan to upgrade the server, buy licences for the newer version or make sure you have upgrade rights.

Quantity. Count every user or device that will connect to the server and leave some spare capacity for a growing team. CALs are often sold in packs, so one larger pack can be more convenient than several small ones.

OEM or standalone licence. OEM licences are usually tied to the server hardware they were bought with and cannot be moved freely to another machine. If you may need to replace the server, consider a licence without that restriction.

Brands we carry

  • Microsoft: the maker of Windows Server and other server products, which is why most CALs in our range are its own.
  • Microsoft (OEM): licences intended to be bought together with a server and tied to it.
  • Lenovo and Lenovo ISG: a server manufacturer; ISG is its server and data centre division.
  • HPE: Hewlett Packard Enterprise builds ProLiant servers, which often need additional access licences.

Also in our range: Dell EMC.

Frequently asked questions about CALs

What is a CAL?

A CAL (Client Access License) is a licence that allows a user or device to legally use the services of a server. It is not a copy of the server software itself, so it is not installed as a separate program. Without it, connecting to a licensed server is only allowed where the product's licensing terms say so.

What is the difference between a User CAL and a Device CAL?

A User CAL is assigned to a person, while a Device CAL is assigned to a device. If employees each use several devices, User CALs are usually more economical. If many people share a single computer, one Device CAL is enough.

Can an older CAL be used with a newer server version?

No, the CAL version must match the server version or be newer. An older licence only covers connections to the same or an earlier server version. Before upgrading a server, check whether your existing licences will cover it.

Does remote desktop access need a separate licence?

Yes, remote desktop services normally need separate RDS CALs in addition to the standard Windows Server CALs. This applies when users connect remotely and work in a virtual session. Check the exact terms for your server version.
