How to choose a scanner

Type of scanner. A barcode scanner reads codes on products, labels and parcels, while a document scanner turns paper into a PDF or another digital file. They are different devices, so decide first what you will be scanning every day.

1D or 2D codes. 1D scanners read only linear barcodes, whereas 2D imagers also recognise QR and DataMatrix codes, as well as codes shown on a phone screen. If the types of code you handle may change, a 2D model is worth choosing.

Connection. A wired USB scanner is usually enough at a checkout, since there is no battery to charge. In a warehouse or on a shop floor a wireless model with Bluetooth or a charging base is more convenient, and small Bluetooth scanners are often paired with a phone or tablet.

Durability and reading distance. For warehouses and outdoor work, choose a model with a stated drop rating and an IP rating for dust and water protection. If you need to scan labels on high shelves, look for models with an extended reading range.

Document scanner speed. Compare pages per minute, the capacity of the automatic document feeder and whether both sides are scanned in a single pass. For large stacks of paper, check the recommended monthly volume stated by the manufacturer.

Frequently asked questions

What is the difference between a 1D and a 2D barcode scanner?

A 1D scanner reads only linear barcodes, while a 2D scanner uses an image sensor and also recognises QR, DataMatrix and other two-dimensional codes. 2D models also tend to cope better with damaged or poorly printed codes. That makes them more practical when the types of code you scan may change.

Does a barcode scanner need drivers?

Usually not. Wired USB scanners are normally recognised by a computer as a keyboard and type the scanned code wherever the cursor is. A Bluetooth model has to be paired with the device, and some manufacturers offer an extra app for configuring their scanners.

Can a scanner read a QR code from a phone screen?

A 2D imager can, whereas a basic 1D laser scanner usually cannot. Not every model supports reading codes from screens, so check the specification before you buy.

How is a document scanner different from the scanner in a multifunction printer?

A document scanner has an automatic document feeder and usually scans both sides of a sheet in one pass, so it processes a large stack quickly. The scanner in a multifunction printer is better suited to single sheets. If you scan many documents every day, a separate document scanner is more convenient.
